To support the Feedstocks & Commodities business, our client is seeking an Executive Assistant responsible for office management and the coordination of international activities to ensure effective support for senior leadership.

Qualifications

  • Minimum of eight years’ experience in senior administrative roles in an international environment.
  • Apprenticeship in business administration, bachelor’s degree, or equivalent education.
Responsibilities

  • Provide comprehensive support to the Business Vice President, including calendar management, meeting coordination, travel arrangements, and preparation of presentations.
  • Use sound judgment when handling internal and external correspondence, prioritizing items that require the leader’s attention.
  • Prepare recurring meetings and agendas, distribute materials in advance, and ensure decisions are documented and followed up.
  • Manage international travel logistics—including visa arrangements and expense reporting—and guide others on related procedures in line with company policies.
  • Oversee records management, delegation of authority, invoice processing, and budget tracking.
  • Collaborate across teams to resolve challenges and promote a positive, inclusive work environment.
  • Act as a role model for other administrative professionals by sharing best practices and providing guidance.

  • You proactively support senior leadership, anticipate needs, and manage complex scheduling with discretion and professionalism. 
  • You are comfortable handling sensitive information and maintain the highest standards of confidentiality.
